Never miss a website enquiry: get alerts straight to WhatsApp

A customer fills in the contact form on your website at 10am. You’re with a client, serving customers, or just busy. You finally check your email at 7pm, and by then they’ve gone with someone else.

Most people who need something doing contact two or three businesses and go with whoever gets back to them first. If your website enquiries only arrive by email, you’re often not first.

Why website enquiries get missed

Email wasn’t built for “reply in the next ten minutes”. Enquiries slip through for all sorts of reasons:

  • They land in junk. Form emails come from an automated sender, which spam filters treat with suspicion.
  • They get buried. Newsletters, invoices and receipts all arrive in the same inbox.
  • Notifications are off. Plenty of people turn off email alerts on their phone to keep the noise down.
  • The form is quietly broken. This is the scary one. It’s more common than you’d think for a form to send enquiries to an old email address, or one with no mailbox behind it. Every message looks “sent” to the customer and goes nowhere. Nobody complains about a reply they never got. They just go elsewhere.

The fix: enquiries straight to WhatsApp

You already check WhatsApp all day. So the simplest fix is to send every website enquiry there as well.

When someone submits your contact form, you get a WhatsApp message within seconds, something like this:

Their name, number and what they need are right there on your lock screen. Tap the number to call them back while they’re still thinking about it.

How it works

It’s a small addition to your website, not a new app or a monthly subscription:

  • Your customers notice nothing different. They fill in the same form they always have.
  • You still get the email as well. You keep a full record, and it’s a backup if WhatsApp is ever slow.
  • Spam is filtered first. Bots are blocked before anything reaches your phone, so you’re not pinged about junk.
  • Every enquiry is logged. If a customer ever says “I sent you a message”, you can check it arrived.

I set this up on my own website and now test it every time I make a change. It’s the first thing I’d add for any business that relies on enquiries.

Check your own form today

Whether or not you add WhatsApp alerts, do this now: fill in your own contact form, as if you were a customer, and time how long it takes to reach you. If it lands in junk, takes hours, or never arrives at all, you’ve found out before another customer did.

A few quick wins while you’re at it:

  • Add the address your form emails come from to your contacts, so it doesn’t go to junk.
  • Turn on notifications for that sender on your phone. On an iPhone, make them a VIP.
  • Test the form again every few months, and after any change to your website or email.
